Thank you for choosing FieldSphere Tech (“FieldSphere,” “we,” “our,” “us”). This Privacy Policy explains how we collect, use, disclose and protect Personal Data when you use FieldSphere Cloud, our software-as-a-service (SaaS) platform for ranch and livestock optimisation, and any related websites, mobile applications or services we operate (collectively, the “Service”).
This Policy applies globally. Local laws may grant you additional rights; where they vary, we comply with the most protective requirement.

2. Definitions

  • “Service” – FieldSphere Cloud and all associated websites, APIs, mobile apps and support channels.
  • “Personal Data” – Any information that identifies or relates to an identifiable person (“data subject”).
  • “Processing” – Any operation performed on Personal Data (Art. 4 GDPR).
  • “Customer” – The ranch, company or individual that has a subscription or trial account.
  • “User” – Anyone authorised by a Customer to access the Service.
  • “You” – A Customer or User, unless stated otherwise.

3. Information We Collect

3.1 Data You Provide

  • Account details (name, business name, email, phone).
  • Ranch-specific data (animal IDs, weights, pasture boundaries, photos, notes).
  • Payment and billing information (handled by our PCI-DSS compliant provider).
  • Communications with us (emails, support tickets, surveys).

3.2 Data We Collect Automatically

  • Log files (IP address, browser type, pages visited, timestamps).
  • Device information (OS, app version, unique identifiers).
  • Usage metrics (feature clicks, performance diagnostics).
  • Cookies and similar technologies (see Cookie Notice if provided).

3.3 Data from Third Parties

  • Weather, satellite imagery and market feed data from trusted providers.
  • Authentication or single-sign-on information (e.g., Google OAuth) if you enable it.

4. How We Use Information

We process Personal Data to:

  1. Provide, operate and maintain the Service.
  2. Personalise features and recommendations.
  3. Improve and develop new products, models and analytics.
  4. Monitor security, detect fraud and enforce Terms of Service.
  5. Comply with legal obligations and resolve disputes.
  6. Send transactional messages (account notices, security alerts).
  7. Send marketing communications only with your prior consent and an option to opt-out at any time.

5. Legal Bases for Processing (GDPR Art. 6)

  • Performance of a contract – To deliver the Service (Art. 6 (1)(b)).
  • Legitimate interests – Product improvement, fraud prevention, intra-group administration (Art. 6 (1)(f)).
  • Consent – Optional marketing emails, cookies (Art. 6 (1)(a)).
  • Legal obligation – Tax, accounting and compliance duties (Art. 6 (1)(c)).

6. Sharing & Disclosure

We do not sell Personal Data. We may share it only:

  • Service Providers – Cloud hosting (AWS, Google Cloud Platform), analytics, email, billing; bound by confidentiality and data-processing agreements.
  • Legal & Compliance – To comply with law, court orders or valid government requests.
  • Corporate Events – Merger, acquisition or asset sale (notice will be provided).
  • Aggregated / Anonymised Data – Insights that cannot reasonably identify you.

7. International Transfers

We store data in the United States and European Union regions using AWS and GCP. Where data moves outside the EEA/UK/Brazil, we rely on:

  • Standard Contractual Clauses (EU 2021/914 & UK addendum).
  • Adequacy decisions or other lawful mechanisms.

  • California (CCPA §1798.110 et seq.) – Right to know, delete, non-discrimination.
  • Brazil (LGPD Art. 18) – Confirmation, correction, anonymisation, portability.

Request these via the in-app Privacy Settings or email privacy@fieldsphere.cloud. We respond within 30 days.

10. Security Measures

  • TLS 1.2+ encryption in transit; AES-256 encryption at rest.
  • Role-based IAM, least-privilege access.
  • Annual third-party security & penetration audits.
  • Continuous monitoring, incident response plan and data-breach notification procedures.

11. Children’s Privacy

The Service is not directed to children under 16. We do not knowingly collect Personal Data from minors. If you believe a child has provided us data, contact us and we will delete it promptly.

12. Changes to This Policy

We may update this Policy periodically. If changes are material, we will:

  • Post the new version on our website, and
  • Notify account owners 30 days before changes take effect.
    Previous versions will remain archived for reference.
